THE LETTER ROOM

Terms of Service

Effective Date: 26 October 2026

Welcome to The Letter Room ("Letterroom," "we," "us," or "our"), available at https://dearletterroom.com.

The Letter Room is an independently operated online platform based in Ghana. It provides a shared digital space where visitors can anonymously publish, discover, and read letters.

By accessing or using The Letter Room, you agree to these Terms of Service. If you do not agree, please do not use the website.

1. Nature of the Service

The Letter Room is a public, creative, and expressive online environment.

Visitors may publish letters under display names or pseudonyms without creating an account. Published letters may be accessible to anyone visiting the website.

The Letter Room does not guarantee that submissions are confidential, private, permanent, accurate, or available indefinitely.

We may modify, suspend, restrict, or discontinue any part of the service when reasonably necessary, including for maintenance, security, safety, legal compliance, or operational reasons.

2. Eligibility and Responsible Use

You must be legally permitted to use the service under the laws applicable to you.

If you are under the age of majority where you live, you should use the service with the involvement of a parent or guardian where appropriate.

The Letter Room is not designed to solicit personal information from children. Users must not disclose children's private information or publish content that endangers minors.

We reserve the right to restrict access or remove content where necessary to protect users or comply with applicable law.

3. Public Letters and User Content

You are responsible for the letters and other content you submit.

By submitting content, you confirm that:

You retain ownership of your original content.

By submitting content, you grant The Letter Room a worldwide, non-exclusive, royalty-free licence to host, store, reproduce, display, format, and distribute that content solely for operating, maintaining, moderating, and promoting the service.

This licence ends when the content is removed from our active public service, except where continued retention is reasonably necessary for backups, legal compliance, security, dispute resolution, or records of moderation, subject to applicable law.

We do not claim ownership of your original letters.

4. Prohibited Content and Conduct

You must not use The Letter Room to publish, encourage, or facilitate:

We may remove, hide, restrict, or report content when we reasonably believe it violates these Terms, threatens safety, or creates legal or security risks.

We may also take reasonable preventive measures against repeated abuse.

5. Moderation and Reporting

The Letter Room provides mechanisms for visitors to report content.

Letters normally publish immediately after input, no-links and technical checks, without prior human approval. Reports are reviewed manually. Submitting a report does not automatically hide or delete a letter; only the administrator decides whether to hide, restore or delete it. We do not guarantee immediate review, removal, or a particular moderation outcome.

We reserve the right to remove or restrict content without prior notice when reasonably necessary.

If you believe a letter infringes your rights, contains your personal information, or should be removed, you may submit a report through the website or contact us using the details below.

Because The Letter Room does not require accounts or verify authors' identities, we may be unable to confirm that a person requesting removal originally submitted a particular letter.

If you wrote a letter and want it removed, choose Report Note and select “I wrote this letter and want it removed”. The confirmation is “Your removal request has been sent for review.” Authorship is not verified, and no account or additional personal details are required by that report form.

We will assess removal requests reasonably and in accordance with applicable law. To request reconsideration, email us with the letter reference and your reasons.

6. Privacy and Anonymity

The Letter Room does not require visitors to register an account to publish letters.

However, the absence of accounts does not mean that use of the website is completely anonymous or untraceable.

Limited technical information may be processed for security, abuse prevention, rate limiting, moderation, and operation of the service.

Please read our Privacy Notice at https://dearletterroom.com/privacy for further information.

Do not submit passwords, financial credentials, sensitive personal records, or other information you would not want publicly disclosed.

7. No Professional Advice or Emergency Services

Letters published on The Letter Room reflect the views and experiences of their individual authors.

They are not necessarily endorsed, verified, or reviewed by us.

The service does not provide medical, psychological, legal, financial, or other professional advice.

The Letter Room is not an emergency response service. If you or another person is in immediate danger, contact the appropriate local emergency services.

8. Intellectual Property

The Letter Room's original website design, branding, software, graphics, visual environment, and other original materials are owned by us or used under appropriate licences.

You may not copy, redistribute, commercially exploit, or misrepresent our original materials without permission, except where permitted by law.

Nothing in these Terms prevents lawful quotation, criticism, personal sharing, or other uses permitted by applicable law.

9. Voluntary Support and Donations

The Letter Room may provide an optional way for visitors to support the project through a third-party payment service such as Ko-fi.

Contributions are voluntary and do not purchase ownership, editorial control, guaranteed publication, preferential moderation, or special access unless explicitly stated otherwise.

Payments are processed by the relevant third-party provider and may be subject to its separate terms and refund rules.

Any statutory rights you have concerning payments remain unaffected.

10. Service Availability and Technical Risks

We aim to keep The Letter Room accessible and functioning, but we cannot guarantee uninterrupted, error-free, or secure availability.

Letters, features, visual elements, and other parts of the service may be affected by technical faults, maintenance, outages, security incidents, or changes to third-party infrastructure.

You should not rely on The Letter Room as your sole means of preserving important personal writing.

We may remove content or temporarily suspend the service when reasonably necessary.

11. Disclaimer of Warranties

To the maximum extent permitted by applicable law, The Letter Room is provided on an "as is" and "as available" basis.

We do not guarantee the accuracy, reliability, safety, completeness, availability, or suitability of user-submitted content.

We do not endorse every opinion or statement published by visitors.

Nothing in these Terms excludes warranties, guarantees, or rights that cannot lawfully be excluded.

12. Limitation of Liability

To the maximum extent permitted by applicable law, The Letter Room and its operator will not be liable for indirect, incidental, consequential, special, or punitive losses arising from use of the service, including loss of data, interruption of access, or reliance on user-submitted content.

We are not responsible for unlawful or harmful acts committed independently by users merely because they use the platform, except to the extent that applicable law imposes responsibility on us.

Nothing in these Terms excludes or limits liability for fraud, wilful misconduct, death or personal injury caused by negligence where such exclusion is prohibited, or any other liability that cannot lawfully be excluded or limited.

13. Indemnification

To the extent permitted by applicable law, you agree to indemnify The Letter Room and its operator against reasonable third-party claims, damages, and expenses arising directly from your unlawful content, infringement of another person's rights, or deliberate misuse of the service.

This obligation does not apply to losses caused by our own unlawful conduct or to the extent that such an obligation would be unenforceable under applicable law.

14. Third-Party Services

The Letter Room uses third-party infrastructure and may link to external services.

We are not responsible for the independent practices, availability, or content of third-party websites and services.

Your use of those services may be governed by their own terms and privacy policies.

15. Changes to These Terms

We may update these Terms to reflect changes in the service, applicable law, or our operating practices.

The updated version will be published on this page with a revised effective date.

Where legally required, we will provide additional notice or obtain consent before material changes take effect.

Your continued use of the service after updated Terms become effective constitutes acceptance where permitted by applicable law. These changes apply prospectively and do not retroactively expand the permission granted for letters submitted under earlier terms. We will seek separate permission before using those earlier letters to promote the service.

16. Governing Law and Disputes

These Terms are governed by the laws of the Republic of Ghana, subject to any mandatory consumer protection, privacy, or other legal rights that apply in your jurisdiction.

Where legally permissible, disputes concerning these Terms will be subject to the jurisdiction of the competent courts of Ghana.

Before commencing formal proceedings, users are encouraged to contact us to seek an informal resolution.

Nothing in this section prevents you from exercising rights or pursuing remedies that cannot lawfully be restricted.

17. Severability

If any provision of these Terms is found invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
